Central inventory and ordering management system
A central web system for managing inventory, orders, permissions and data analysis in a distributed organisation. The solution automates operational processes and uses a recommendation algorithm to indicate which items should be replenished, moved or ordered.
Company description
An organisation operating in a distributed structure, with many operational units, a large number of users with different permission levels and extensive processes related to resource management, inventory, orders and reporting. The company needed an online solution that would allow ongoing process control, automation of repetitive operations and fast access to up-to-date data.
Problem
- Data scattered across many places and no single central system
- A large number of users with different roles, permissions and scopes of responsibility
- Manual handling of some processes, increasing the risk of mistakes, delays and inconsistent data
- No complete change history and difficulty tracking who performed which operations and when
- Need for ongoing monitoring of inventory, orders, transfers and resource availability
- Need to analyse large volumes of data across many dimensions
- No convenient way to filter, sort and personalise data views
- Time-consuming manual decisions about replenishing, moving or ordering resources
- Need to automate calculations, statuses, statistics and decision-making processes
- Requirement to access the system from different locations without installing additional software
Proposed solution
- A web application available through an internet browser, with no installation required on user devices
- A central system for managing data, users, permissions and operational processes
- An administration panel for configuring dictionaries, roles, units, parameters and system settings
- Modules for inventory, orders, transfers, change history and reporting
- An algorithm analysing historical data, current inventory, available space, rotation and other operational parameters to automatically suggest items for replenishment, transfer or ordering
- Advanced filtering, sorting and table view personalisation for users
- Automatic recalculation of selected values, statuses, statistics and summaries
- Data export to XLSX/CSV files for further analysis outside the system
- Validation mechanisms limiting the possibility of incorrect operations
- Operation history enabling change control and analysis of user activity
- Dashboards and summary views presenting the most important information in real time or recalculated cyclically by the system
System components
- Login and user management module
- Roles and permissions module
- Organisational unit management module
